Job Description:

Office Manager / Bookkeeper
Vinings, Ga

A rapidly growing company is seeking a highly motivated and experienced Office Manager / Bookkeeper to oversee daily financial and administrative operations. The Office Manager / Bookkeeper will take ownership of essential accounting functions, ensure financial accuracy, and maintain smooth office operations. This role requires a proactive problem-solver who can work independently, manage workflow efficiently, and communicate effectively with both internal teams and clients. The Office Manager / Bookkeeper will also play a key role in maintaining compliance, tracking financials, and supporting HR-related tasks.

Key Responsibilities:

  • The Office Manager / Bookkeeper will maintain and manage billing and client management systems.
  • Manage billing & client accounts (including AIA billing)
  • Collect and track Certificates of Insurance for vendors and subcontractors.
  • Perform account reconciliations and maintain both accounts payable and accounts receivable records.
  • The Office Manager / Bookkeeper will produce monthly financial and management reports to support business operations.
  • Process and review employee timesheets to ensure payroll accuracy.
  • Conduct collections efforts, including follow-up calls, emails, and in-person meetings.
  • Investigate and resolve financial discrepancies and irregularities as an Office Manager / Bookkeeper.
  • Manage office expenditures and budgets to ensure cost efficiency.
  • The Office Manager / Bookkeeper will prepare payments for vendors and contractors in a timely manner.
  • Support HR-related functions, including employee documentation and compliance.

Qualifications:

  • 3+ years of experience working with QuickBooks
  • Strong construction industry knowledge, including AIA billing and compliance.
  • Proficiency in Microsoft Office Suite, Google Suite, and related accounting software.
