Job Description:

Position: Executive Assistant
Location: Grand Rapids, MI | Hybrid
Employment Type: 30-40 Hours Full-Time | Permanent
Pay Rate: $25.00 - $35.00/Hr

The Executive Assistant will provide high-level administrative and office support to Executives/Management. Their responsibilities include managing calendars, coordinating meetings, handling travel arrangements, and ensuring smooth office operations. They also act as a gatekeeper, filtering communication, and managing the flow of information.

Key Responsibilities of the Executive Assistant:

  • Calendar Management: Scheduling, rescheduling, and managing Executive calendars, including internal and external meetings, appointments, and events. Assisting in the minimization of interruptions to the Executive in a friendly and professional manner.
  • Travel Arrangements: Making travel arrangements, including booking flights, hotels, and transportation, and managing itineraries.
  • Meeting Coordination: Organizing and coordinating meetings, setting up meeting rooms, preparing agendas, welcoming guests, coordinating food and facilities, note taking.
  • Communication Management: Acting as the point of contact for the executive, screening phone calls and emails, and distributing correspondence.
  • Document Management: Organizing, maintaining, and updating documents.
  • Office Support: Performing a variety of administrative tasks, such as answering phones, greeting visitors, and managing office supplies.
  • Expense Reports: Administering expenses on behalf of the executive.
  • Project Support: Assisting with projects and tasks, such as preparing presentations, conducting research, and managing deadlines.
  • Communication and Coordination: Facilitating communication between the executive and other staff, clients, and external partners.

Requirements of the Executive Assistant:

  • Aligned with or respectful of faith-centered mission and practices.
  • Strong organizational and time management skills.
  • Excellent communication skills, both written and verbal.
  • Proficiency in Microsoft Office Suite and other relevant software.
  • Ability to work independently and prioritize tasks.
  • Strong problem-solving and decision-making skills.
  • Ability to handle sensitive information with discretion and confidentiality.
  • Experience with project management and office administration.
  • A proactive and detail-oriented approach to work.
