Position Overview:
We are seeking a proactive and detail-oriented Administrative Assistant to support our client's executive team and office operations. This individual will be a vital resource in ensuring day-to-day logistics run smoothly—from travel arrangements to office supply management—while also maintaining discretion with confidential information. The ideal candidate is highly organized, resourceful, and has prior experience touching HR or Talent Acquisition (TA) functions.
Key Responsibilities of Administrative Assistant:
Act as a primary Administrative Assistant to support executive calendars and logistics.
Book domestic and international flights, hotels, and car services with attention to preferences and cost-efficiency.
Place and manage lunch orders, including dietary restrictions and group catering.
Handle Instacart orders and coordinate deliveries as needed for office and personal tasks.
Order company swag and brainstorm creative, on-brand swag ideas for events and employees.
Keep executives organized through calendar management, email support, and prioritization of tasks.
The Administrative Assistant will sort and distribute incoming mail and packages.
Order and maintain inventory of office supplies and snacks.
Assist in sourcing and coordinating purchases for new cubicles, including vendor research and space planning.
Serve as a backup liaison for confidential documents and communications, especially related to HR or TA workflows.
Support light onboarding or offboarding tasks when needed (e.g., welcome kits, equipment prep).
Maintain professionalism and confidentiality across all responsibilities.
Qualifications of Administrative Assistant:
2+ years of experience in an Administrative Assistant or similar support role.
Prior experience working in or closely with HR or TA teams, with an understanding of confidentiality requirements.
Excellent organizational, time-management, and communication skills.
Proficiency in tools such as Google Workspace, Slack, and common scheduling platforms.
Ability to multitask and adapt in a fast-paced, dynamic environment.
A creative mindset with a flair for company culture and swag ideation.
