Administrative Assistant / Office Manager

CFS is partnering with a premier global commercial real estate firm to identify an Administrative Assistant / Office Manager for their Boston operations located directly next to South Station. This role will support day-to-day front desk and office operations during a planned transition, with strong preference for candidates interested in long-term growth.

Responsibilities:

  • Serve as the primary point of contact for tenants, vendors, and visitors, in person and by phone
  • Manage reception and front desk operations with a polished, service-oriented approach
  • Process and code invoices; assist with vendor payment inquiries
  • Support contract management, including COIs, DocuSigns, and document tracking
  • Order office supplies and manage general office logistics
  • Coordinate conference room scheduling and meeting support
  • Assist with tenant coordination and general administrative needs
  • Shadow internal team members to learn established processes and systems

Qualifications:

  • 2+ years of experience in an administrative, office management, or front desk role
  • Professional, friendly, and confident client-facing presence
  • Strong organization, attention to detail, and ability to multitask
  • Proficiency with Microsoft Office (Excel, Outlook, Word)
  • Experience in commercial real estate, property management, facilities, legal, or financial services preferred but not required

Additional Details:

  • Schedule: Monday–Friday, 8:00 AM–5:00 PM (1-hour lunch)
  • Salary Range: $60,000-$75,000
