What You’ll Do as a Payroll Coordinator

In this role, you’ll take ownership of payroll compliance processes while partnering with internal teams and subcontractors:

Payroll & Compliance Coordination

  • Track project details including wage determinations, contract terms, and mobilization timelines
  • Ensure payroll submissions meet prevailing wage (Davis-Bacon) requirements
  • Support accurate reporting for both company and subcontractor payroll

Subcontractor Support & Onboarding

  • Guide subcontractors through payroll setup and compliance requirements
  • Collect and organize certified payroll documentation
  • Serve as a go-to resource for payroll and compliance questions

Reporting, Tracking & Communication

  • Provide weekly updates on payroll status, outstanding items, and compliance risks
  • Track and document issues, ensuring timely resolution
  • Maintain organized, audit-ready records across systems

Process Improvement & Documentation

  • Help build and refine standard operating procedures (SOPs)
  • Support scalable, efficient payroll compliance processes
  • Assist with audits, year-end reporting, and regulatory requirements

Data & Systems Work

  • Use Excel to track, analyze, and report on payroll and compliance data
  • Enter and maintain data across payroll platforms, client systems, and government portals

What You Bring as a Payroll Coordinator

Required Qualifications

  • 2+ years of experience in payroll, accounting support, or administrative roles
  • Strong attention to detail and high level of accuracy in data entry
  • Ability to manage deadlines and multiple priorities in a fast-paced environment
  • Strong communication skills and confidence working with internal teams and external partners
  • Solid Excel skills (tracking, organizing, and analyzing data)

Nice to Have

  • Experience with prevailing wage or certified payroll (Davis-Bacon)
  • Construction industry experience
  • Familiarity with payroll/compliance systems (e.g., Dili or similar platforms)
