Office Manager Responsibilities

  • Manage and organize documents within the organization’s finance portal, including scanning, coding, uploading, and maintaining accurate electronic records.
  • The Office Manager will monitor the finance portal daily, research discrepancies, answer questions, and ensure outstanding items are resolved promptly.
  • Serve as the primary administrative support for day-to-day office operations and finance-related workflows.
  • Coordinate, organize, and maintain electronic and paper filing systems to ensure accuracy and accessibility.
  • The Office Manager will assist with light accounting support, including invoice processing, reconciliations, and financial documentation as needed.
  • Provide general office coordination and administrative support to leadership and staff.
  • Communicate with internal team members to ensure financial documents and approvals are completed in a timely manner.
  • The Office Manager will identify opportunities to improve administrative processes and workflow efficiency.

Preferred Qualifications of the Office Manager Role

  • Previous experience as an Office Manager, Administrative Coordinator, Administrative Assistant, or in a similar office support role.
  • Strong organizational skills with exceptional attention to detail.
  • Comfortable working with document management systems, scanning, electronic filing, and data entry.
  • Experience supporting accounting or finance departments is preferred.
  • Proficient in Microsoft Office, particularly Outlook and Excel.
  • Patient, dependable, and customer-service oriented with strong communication skills.
  • Ability to prioritize multiple tasks and work independently in a collaborative office environment.
