What You’ll Do

Dispatch & Transportation Coordination

  • Schedule and dispatch truckload (TL), less-than-truckload (LTL), and rail shipments.
  • Coordinate daily pickup and delivery appointments with carriers, drivers, warehouses, and customers.
  • Monitor shipment status from pickup through final delivery.
  • Track freight movements and proactively resolve delays, service disruptions, and scheduling conflicts.
  • Communicate with drivers and carriers regarding load updates, routing changes, and delivery timelines.
  • Secure freight quotes and coordinate transportation capacity to meet customer requirements.
  • Support carrier sourcing efforts and assist with freight bidding activities.
  • Coordinate equipment positioning and transportation requirements across multiple locations.
  • Assist with cross-border transportation and customs-related freight movements.

Carrier Management & Customer Service

  • Build and maintain strong relationships with carriers, brokers, and transportation providers.
  • Evaluate carrier performance and service reliability.
  • Support carrier onboarding and setup processes.
  • Provide timely shipment updates and exceptional service to internal and external customers.
  • Participate in carrier reviews and transportation planning discussions.

Freight Analysis & Problem Resolution

  • Review transportation costs, freight bills, and carrier invoices for accuracy.
  • Research and resolve billing discrepancies and freight-related issues.
  • Assist with freight claims, damage investigations, and corrective actions.
  • Monitor key transportation performance metrics including:
    • On-time pickups
    • On-time deliveries
    • Transit performance
    • Carrier service levels

Systems & Administrative Support

  • Maintain carrier rates, contracts, insurance documentation, and transportation records.
  • Update freight rates and transportation data within TMS and ERP systems.
  • Generate transportation reports and support operational analytics.
  • Assist with transportation planning, budgeting, and continuous improvement initiatives.
  • Provide backup support for critical logistics and supply chain functions.

What We’re Looking For in a Truck Dispatch Coordinator

Required Qualifications for a Truck Dispatch Coordinator

  • High school diploma or equivalent.
  • 2+ years of experience in trucking, dispatch, logistics coordination, freight brokerage, or transportation operations.
  • Experience coordinating truckload (TL) and LTL shipments.
  • Strong understanding of carrier relations and freight movement processes.
  • Excellent communication and customer service skills.
  • Ability to multitask and prioritize in a fast-paced environment.
  • Strong problem-solving and decision-making abilities.
  • High level of organization and attention to detail.
  • Proficiency with Microsoft Office, especially Excel.

Preferred Qualifications for a Truck Dispatch Coordinator

  • Experience working in a dispatch, freight brokerage, trucking, manufacturing, or industrial environment.
  • Experience with ERP systems such as Microsoft Dynamics or similar platforms.
  • Familiarity with freight rates, transportation costs, and carrier negotiations.
  • Experience analyzing transportation metrics and service performance.
  • Knowledge of cross-border freight and customs processes.
