Key Responsibilities
- Manage executive calendars, schedule meetings and appointments, and maintain the company calendar
- Answer incoming calls, greet visitors, route messages, and provide professional customer service
- Coordinate daily office operations, including mail, scanning, package preparation, bank deposits, errands, and general administrative needs
- Prepare and distribute emails, memos, letters, reports, and other correspondence
- Maintain office supplies, equipment, vendor records, insurance certificates, and document retention systems
- Coordinate office events, meetings, and special projects as needed
- Research information and provide administrative support to department leaders
- Serve as a reliable resource for day-to-day office coordination and administrative needs
Qualifications
- 5+ years of administrative or office coordination experience
- High school diploma or equivalent required; additional education or certifications preferred
- Valid California driver’s license required
- Proficiency in Microsoft Office Suite, including Excel, Word, and Outlook
- Strong organizational, communication, and time-management skills
- Professional demeanor with the ability to work effectively with employees, vendors, and visitors
